Library Automation Consultancy at NITTTR Chandigarh

I recently provided consultancy services for the automation of the library at the National Institute of Technical Teachers Training and Research (NITTTR), Chandigarh, focusing on the implementation and configuration of Koha, an open-source Integrated Library Management System (ILMS).

The project involved understanding the library’s existing workflow, preparing and organizing bibliographic data, configuring Koha to meet the institution’s requirements, and assisting the library team in transitioning to a modern, web-based library management environment.

Project Goals

  1. To implement an efficient and modern open-source Library Management System.
  2. To organize and migrate the library’s existing bibliographic data into Koha.
  3. To configure Koha according to the operational requirements of the library.
  4. To streamline circulation, cataloging, patron management, and other routine library operations.
  5. To provide technical guidance and training to library staff for effective use of the new system.

Project Methodology

Requirement Analysis

The project began with an assessment of the library’s existing automation environment, data structure and operational requirements. Existing workflows were examined to identify the configuration and migration requirements for implementing Koha.

Data Preparation and Migration

The existing bibliographic and library data were analyzed and prepared for migration. Data cleaning, field mapping, and standardization were carried out to ensure compatibility with the MARC21-based structure used by Koha.

Particular attention was given to identifying inconsistencies, duplicate records and incomplete bibliographic information before importing the data into the new system.

Koha Installation and Configuration

Koha was configured as the library’s Integrated Library Management System. Core modules and system preferences were configured according to the requirements of the institution, including:

  • Bibliographic and authority management
  • Cataloguing
  • Circulation
  • Patron management
  • Item and barcode management
  • OPAC configuration
  • Library, branch and item-type settings
  • System preferences and operational rules

Catalog and Data Validation

Following migration, the imported records were systematically reviewed and validated. Sample records were compared with the source data to identify and rectify errors in bibliographic fields, item information and other migrated data.

Workflow Configuration

Koha’s circulation and library workflows were configured to meet the library’s operational requirements. This included configuring patron categories, circulation rules, loan periods, fines and other relevant parameters.

Testing and Quality Control

The implemented system was tested across the major library workflows to ensure that cataloging, circulation, patron management, and OPAC services were functioning correctly.

Data integrity and system behavior were also reviewed before the system was brought into regular operational use.

Staff Training and Technical Support

Hands-on guidance and training were provided to library staff on the use and administration of Koha. The training covered day-to-day operations as well as essential system management activities.

Technical consultancy was also provided to help the library team understand the new system and make effective use of its features.

Project Results

The consultancy resulted in the successful implementation and configuration of Koha for the NITTTR Chandigarh Library.

The project provided the library with:

  • A modern, web-based, open-source library management system
  • Improved management of bibliographic and item records
  • Streamlined circulation and patron management
  • A web-based public catalogue through Koha OPAC
  • Better control over library data and system configuration
  • A flexible platform that can be further extended according to future requirements
  • Trained library staff capable of managing routine Koha operations

Conclusion

The NITTTR Chandigarh Library automation project demonstrates how open-source technologies can provide educational and research institutions with a flexible and sustainable alternative for managing library operations.

Through consultancy, system configuration, data preparation, testing and staff training, the project helped establish a modern Koha-based library automation environment while giving the institution greater control over its library data and technology infrastructure.
